Word Refinery: Terms & Conditions

Communication

Here at Word Refinery, clear, concise communication is essential to achieve the most from working with you on your project and achieving the best outcome as a team. Outsourcing your proofreading, editorial, or other creative requests, as agreed with me, requires excellent communication, transparency and trust so that I can refine your vision for the project.

I prefer to keep the majority of our correspondence to writing (Email) so that expectations are clear and accessible for both parties throughout the journey. This additionally enables me to deal with queries or concerns quickly and efficiently to give you added security.

Definitions

The party on whose behalf the work is to be processed will be referred to here as the ‘client’. All work carried out by Word Refinery will be completed by Natasha Sinclair. As the party who will carry out the work, my name will be included here in these Terms & Conditions for complete transparency. Word Refinery (Natasha) reserves the right to amend these terms and conditions at any time.

Service Agreement

Before work begins, the client must sign and return a written service agreement, typically via Email. The service agreement will describe the specific service and agreed price (fixed price or per word). If the client’s requirements change, Natasha reserves the right to amend the original quotation. Extra time to fulfil the agreement may be required when unforeseen circumstances lead to an inability to complete on time. In these cases, a new delivery date will be agreed by both parties before any further work processed.

Delivery

Completed work will be delivered electronically via Email to the client. Regarding proofreading and editorial services — the completed work will be produced as two documents for each piece of work;

  • A clean and edited copy with all incorporated changes.
  • A copy with track changes enabled, showing all recommended changes and corrections.

Service Report

A service report will be issued upon delivery, detailing style choices and any client queries/suggestions. The client is responsible for checking the edited material upon delivery and attending to any questions raised in the service report. While I endeavour to ensure my clients receive clean, error-free documents returned, no editor is entirely infallible. Therefore, if the edited material contains any missed errors, they will be resolved free of charge if notified within five working days of delivery with no further liability to Natasha.

Payment

The client will be invoiced upon receipt of the completed work. Unless otherwise agreed, complete payment is strictly due five days from the invoice date by direct transfer to the specified account (details in invoice).

Risk

Risk to the material remains with the client. The client is advised to keep a copy of the original document(s).

Content

All material to be processed remains the property of the client. Natasha is not responsible for the content or end use of any material supplied. Natasha reserves the right to return any material that is illegal or deemed to be inappropriate.

Confidentiality

All work is handled with complete discretion and will not be disclosed or distributed by Natasha.
